How to Grant Define Marketing Access to Your Accounts (Google, Facebook, etc.)

For Define Marketing to effectively manage your digital marketing campaigns and optimise your Define360 platform, we often need access to various third-party accounts, such as your Google Business Profile, Facebook Page, or Google Ads.

This guide explains why we need access and provides general instructions on how to securely grant us the necessary permissions. Rest assured, we always request the minimum level of access required for our services.

Part 1: Why Define Marketing Needs Access

We request access to your accounts to perform critical tasks, including:

  • Google Business Profile: To manage your local SEO, post updates, reply to reviews, and ensure your business information is accurate.
  • Facebook Page & Instagram Business Profile: To manage your social media content, run ads, and engage with your audience.
  • Google Ads Account: To build, monitor, and optimise your advertising campaigns.
  • Google Analytics: To track website performance, user behaviour, and campaign effectiveness.
  • Define360 Platform: To set up automations, funnels, and integrate your various marketing channels.
  • Website (WordPress, etc.): To perform maintenance, updates, and implement SEO improvements.

We never ask for your personal login passwords unless absolutely necessary. Instead, platforms allow you to grant “partner” or “user” access with specific roles (e.g., “Editor,” “Analyst,” “Admin”).

Part 2: General Steps to Grant Access

While the exact steps vary slightly by platform, the general process is similar:

  1. Log in to the Account: Log into the specific platform (e.g., Facebook, Google, WordPress) using your personal login credentials that have administrative rights to the business asset (Page, Account, etc.).
  2. Navigate to Settings/Users: Look for a section like “Settings,” “Account Settings,” “Users,” “People,” “Page Roles,” or “Business Settings.”
  3. Add User/Partner: Look for an option to “Add User,” “Add People,” “Assign Roles,” or “Connect Partner.”
  4. Enter Our Details: You will typically need to enter an email address or a specific ID provided by Define Marketing.
  • For email-based access: We will provide you with a specific email address (e.g., a define.au email address) to invite.
  • For partner/business ID-based access: We will provide you with a unique ID (e.g., a Facebook Business Manager ID or a Google Ads Customer ID).

Assign Role/Permissions: Select the appropriate access level. We will always specify the minimum role required (e.g., “Editor” for a Facebook Page, “Standard Access” for Google Ads).

Send Invitation/Grant Access: Confirm and send the invitation. We will then receive the invite and accept it on our end.

Part 3: Specific Instructions for Common Platforms

1. Google Business Profile & Google Analytics

We will provide you with an email address (e.g., [email protected] or [email protected]).

  1. Log in to your Google Account (the one managing your Business Profile).
  2. Go to Google Business Profile Manager.
  3. Select your business, then click “Users” or “Managers” in the left menu.
  4. Click “Add Users” (blue icon).
  5. Enter our provided email address.
  6. Select the role: “Manager”.
  7. Click “Invite”.

2. Facebook Page & Instagram Business Profile

We need access to your Facebook Business Manager. If you don’t have one, we can guide you in setting it up. We will provide you with our

Facebook Business Manager ID.

  1. Log in to your Facebook Business Manager (business.facebook.com).
  2. Go to “Business Settings”.
  3. Under “Users,” select “Partners”.
  4. Click “+ Add” then “Give a partner access to your assets”.
  5. Enter our Partner Business ID.
  6. Select the specific Facebook Page and Instagram Business Profile you want us to manage.
  7. Assign us the role: “Admin Access” or “Editor” (we will specify).
  8. Click “Save Changes”.

3. Google Ads Account

We will provide you with our 10-digit Google Ads Customer ID.

  1. Log in to your Google Ads account.
  2. Click “Tools and Settings” (wrench icon) in the top menu.
  3. Under “Setup,” click “Account Access”.
  4. Click the blue plus icon (+).
  5. Select “Link an existing manager account.”
  6. Enter our 10-digit Customer ID.
  7. Click “Send Request”. We will then accept it.

4. Define360 Platform

If you need to grant us temporary or higher-level access to your Define360 account, we will guide you through this process as it’s typically done via a secure internal method.

5. WordPress Website

We will provide you with an email address and a temporary username.

  1. Log in to your WordPress dashboard.
  2. Go to “Users” > “Add New”.
  3. Fill in the username (provided by us), our email address, and generate a strong password.
  4. Set the role to “Administrator”.
  5. Click “Add New User”. (Please notify us once created so we can log in and change the password for security.)
