Microsoft 365 (M365) accounts are designed to work seamlessly with Outlook. In most cases, all you’ll need is your new email address and password, and Outlook will automatically detect all the correct server settings for you.
Outlook for PC (Windows)
- Open the Outlook application on your computer.
- Click on File in the top-left corner.
- On the ‘Info’ screen that appears, click the large + Add Account button.
- In the new window, type in your full M365 email address (e.g., [email protected]) and click Connect.
- Outlook will work for a moment and then display a Microsoft 365 sign-in screen.
- Enter your password when prompted.
- You will likely be asked to approve the sign-in using your Multi-Factor Authentication (MFA) method (e.g., a code from the Microsoft Authenticator app or a text message).
- Once successful, you’ll see a message that the account was added. Click Done. Your emails and calendar items will begin syncing immediately.
Outlook for Mac
- Open the Outlook application on your Mac.
- Click Outlook in the menu bar at the very top of your screen (next to the Apple logo).
- Select Settings… (or Preferences… on older versions).
- In the window that opens, click on Accounts.
- Click the plus ( + ) button in the bottom-left corner and select New Account….
- Type in your M365 email address and click Continue.
- You will be directed to the standard Microsoft 365 sign-in page.
- Enter your password and approve any MFA prompts that appear.
- Once confirmed, your account is added. You can close the Accounts window, and your new mailbox will appear in the left-hand panel.
Outlook for iOS (iPhone & iPad) 📱
- Download and open the Microsoft Outlook app from the App Store.
- If this is your first time using the app, it will immediately ask you to add an account.
- If you already have another account in the app, tap your profile icon (or initial) in the top-left corner.
- Tap the Settings gear ⚙️ in the bottom-left corner of the menu that slides out.
- Tap Add Mail Account, then Add Email Account.
- Enter your full M365 email address and tap Add Account.
- You’ll be redirected to the Microsoft sign-in page. Enter your password.
- Complete the MFA verification (e.g., approve the notification on your Authenticator app).
- Your account will be added and will start syncing.
Outlook for Android 🤖
- Download and open the Microsoft Outlook app from the Google Play Store.
- If it’s a new install, tap Get Started.
- If you already have an account set up, tap your profile icon (or initial) in the top-left corner.
- Tap the Settings gear ⚙️ in the bottom-left corner.
- Tap Add Account, then Add Email Account.
- Enter your M365 email address and tap Continue.
- Outlook will direct you to the Microsoft 365 sign-in page.
- Enter your password and approve the sign-in using your MFA method.
- Your account is now set up and ready to use.

The most common issues are a simple typo in the password or a missed Multi-Factor Authentication (MFA) prompt.

- Have your mobile phone ready to approve the MFA sign-in request.
